Data Protection Policy – Version 4 April 2013

1 Treatment of personal data

1.1 The APEEE undertakes to take all appropriate technical and organisational steps to protect your personal data from destruction, loss, involuntary alteration or unauthorised onwards transmission.

1.2 Your personal data is collected via the APEEE website in different ways, namely when you fill in an online form, participate in a survey or if you use certain services including the forum.

1.3 The online enrolment tool is hosted on a separate website which has its own data security measures in place and over which the APEEE has no direct control. Any data that is transmitted to the APEEE from that enrolment site will be treated in accordance with this policy.

1.4 The personal data you have communicated via the website are used to provide the information you have requested or to complete the enrolments you have requested. We use the data from transport enrolments to plan bus capacities and transport schedules. We may use your data to create anonymised statistics in order to plan future scenarios for the provision of our services.  In addition, we use your data to maintain lists of children enrolled in specific services for the sole purpose of ensuring the functioning of those services.

1.5 By communicating your personal data to the APEEE, you are deemed to expressly agree that the APEEE can store and treat your data for the purposes set out above.

1.6 The APEEE undertakes not to communicate your personal data to third parties unless it is necessary for the services to be provided.  For example, the details of children enrolled in activities or on the bus services may be communicated to monitors and supervisors.   If you are reimbursed by an external organisation for any expenditure you incur with the APEEE, the APEEE will respond to any request from that organisation for relevant data (for example confirming that a child uses the bus).

1.7 The APEEE reserves the right to use or disclose certain personal data in specific circumstances, namely in order to comply with legal obligations or to protect its property.

2 Correction of personal data

2.1 You may consult the personal data we hold about you and make any corrections free of charge by contacting the APEEE.

3 Information Security

3.1 The APEEE applies an Information Security Policy in order to ensure that the personal data you communicate to the APEEE is protected.

3.2 The APEEE has a nominated Data Protection Officer who is responsible for ensuring that the information security policy is applied and adhered to.

3.3 For all questions concerning the protection of your personal data, please contact the APEEE office.
