Rules of the EC-activities 2011-2012

 

I - GENERAL TERMS

Enrolments can only be made using the forms available on the Parents Association Brussels IV aisbl website: www.bru4.eu.

The enrolment forms must be printed out, signed and sent to the Parents Association office before the deadline.

Once confirmation of enrolment is received, payment must be made to Bank Account No:132-5315454-89; IBAN BE 45 132 531 5454 89; BIC BNAGBEBB. In the communication you must include:

NAME+FIRST NAME OF CHILD+ACTIVITY CODE+PERISC 2011.

PLEASE NOTE:

There is no school bus after the extra-curricular activities on Monday, Tuesday and Thursday.

Children enrolled in the central child-minding centres on Wednesday and Friday can take part in extra-curricular activities. Their departure to the child-minding centres will be supervised by our monitors.

All the other children who participate in the activities must be collected by their parents. Priority will be given to children enrolled in the child-minding centres on Wednesday, for other children places will be subject to availability. We can not guarantee meals or supervision between the end of school at 12h30 and the start of activities at 13h15 for children not enrolled at the child-minding centres.

Priority is given on Fridays for children in M1, M2, P1 and P2 who wish to leave school with their brothers or sisters who finish school at 15.15.

II - PROCESSING ENROLMENTS, TRIAL CLASS AND DURATION OF COURSES:

You must fill in one enrolment form per child.

Enrolments can be made up to 15 July 2011. Enrolments will be confirmed at the end of August. The 6th September 2011 is the deadline for payment for confirmed enrolments for activities.

Signed enrolment forms are processed in order of arrival. If you do not receive a confirmation from us by e-mail this means that your child has not been enrolment.

It is possible to "try out" all our activities during the first two weeks of courses, for a flat fee of 30€ per course in the case of cancellation.

III - CANCELLATION, CHANGE OF COURSE, MODIFICATIONS OR CLOSURE:

Courses should be cancelled before the start of courses, or after the trial period and during the first month of the course. The amount paid will be reimbursed deducting administrative of 30€ per course cancelled.

If a course is cancelled after the two weeks trial or a month after the courses start:

NO refund will be given.

It is permitted for each participant to change only one course a year, during the first month of courses provided there are places available in the new course without giving rise to a reduction in price.

Activities will only start if the minimum number is enrolled for the course. The extracurricular activities team reserve the right to cancel or change courses, whatever they are, without exception.

In the case of the absence of an instructor, participants are supported by our service. They will be directed to another activity or the monitor may be replaced.

IV - PRICING, REFUNDS AND NON PAYMENT:

Price differences between courses are due, among other things, to the duration of the activity, materials required for the course and enrolment. These prices can be changed and increased.

Except for special cases, all materials are included in the prices of the course which has, on average, 35 sessions a year.

Parents who do not pay the fees may expose their children to the risk of permanent exclusion from services of the Parents Association. The decision to exclude does not allow for appeal.

If a family owes money for other Association service no new enrolment will be accepted.

There is NO refund for occasional absences such as illness, by participants or instructors.

For pupils who arrive during the school year, payment will be calculated based on the number of session remaining for a course. In the case of entry during a term payment will be for the whole term.

V - ACTIVITIES TIMETABLE, COLLECTION OF CHILDREN AND SUPERVISION

The activities are annual. The courses start on the 19th September 2011. All courses finish on 23rd June 2012.

There is no school bus after the activities except on Wednesday and Friday.

Activities on Monday, Tuesday, Thursday start at 15.15. After the courses children should be collected by their parents or go the child-minding centre at the school. Please note that the courses in the first session finish at 16.30 and those of the second session at 18.00.

Activities on Wednesday start at 13.15. When the courses finish at 14.30 children are either directed to another activity, to the child-minding centre (central and Berkendael), or collected by their parents. For courses during the second session children should be collected by their parents at 16.00.

Activities on Friday start at 12h45. There are three sessions of activities: the first session between 12.45 and 14.00; the second between 14.00 and 15.00; the third between 15.15 and 16.30. A bus service home and to the child-minding centres is available after the second session. Parents who wish their children to take theses buses must enrol their children for the first two sessions (no child-minding service is guaranteed). Children who leave the school at 16.30 must be collected by their parents.

No supervision is provided at the end of activities. It is therefore important that parents collect their children on time. In case of late arrival, monitors must be paid for overtime. Late comers will be report to the Extra-curricular Activities Service. Accordingly, two late arrivals of more than fifteen minutes will result in a flat fee of 50€ per 15 minutes. The third delay of over 15 minutes may cause the exclusion of the child without a refund.

Parents must provide their telephone numbers, postal address and e-mail, the name of the person authorized to collect their child after the activities, the bus number they will take and the name of the child-minding centre they go to. This information allows us to contact you in case of emergencies. We do not take responsibility if this information is not sent to us.
